Case Study: Document Management
Financial Documents - How to Find a Needle in a Hay Stack
A leading UK Insurance company held financial documents on over 1500 CD-ROMs and stored them off line in several crates. When a particular document, in TIFF image file format, was required, a file reference gave only the physical location of the disk.

This was not only time consuming but read errors often occurred, as disks tended to be left around unprotected. Westpoint recommended that the data should be converted to DVD-R to greatly reduce the number of disks. This was achieved at Westpoint's in house data conversion facility. Special scripts were written to check and verify the conversion process using the event-recording feature of Point Jukebox Manager. Two NT servers and two Jukebox systems - one fitted with an internal DVD-R drive – allowed conversion and verification to run 24 hours a day. The end result was that over a million files were re-written to just 120 DVD-R disks. A JVC 8000 series 600 slot DVD Jukebox with Point Jukebox Manager was then installed on the customer's NT server. The converted DVD-R disks were loaded into the Jukebox which "appeared" to network users as a mapped hard drive. Westpoint's conversion scripts had been designed to produce a directory structure in line with the customer's existing database. Network users can now search over a million image files and download a document within seconds.

SAGA turns to DVD for cheaper AS400 storage

SAGA needed a low cost storage solution to handle the growing archive of PDF documents produced in their business. DVD-R is the ideal solution for document storage and was easy to connect to their AS 400 with a new Network Attached Storage (NAS) product from Westpoint. This NAS device, a Virtual DVD Recordable Jukebox, was supplied as a rack mount version, totally housed in a low profile unit just 2.5 inch high.

The Virtual Jukebox consists of a Windows 2000 / NT 4 Pentium 4 server, 512MB memory, 240GB RAID, 100MBit Network and DVD-R recorder. The server is pre-loaded with Point Jukebox Manager version 4 to control the writing and read access to all documents. The system was self-installed by Saga's IT department.

This entry level solution to DVD-R Jukebox technology offers 250GB of storage and costs £6,500. Westpoint provides expandable solutions up to 5.6TB capacity and costing around £25,000, with the JVC 600 slot Jukebox and Point Jukebox Manager software.
